Zotero is a reference manager that can insert citations and generate a reference list through its Word plugin. Install desktop Zotero and Zotero Connector, collect your sources, verify their metadata and select the required citation style in Word. Correct source details in Zotero, then refresh the document so the linked references update.
What should you install?
Use the official Zotero download and the Connector for a supported browser. This guide uses desktop Word. Check the appropriate integration before following the same instructions in another editor. Restart Word after installation and look for the Zotero tab.
If the tab is missing, open Zotero settings, then Cite → Word Processors, and install the Microsoft Word add-in. Interface wording can vary by version and language. The Word plugin documentation explains its commands.
How do you collect and check sources?
Save a journal article from its publisher’s page through the Connector, or add it using its DOI. For a book, use a reliable catalogue record or ISBN. A standalone PDF may need a parent bibliographic item. Renaming the PDF file does not correct the publication’s title field.
Check item type, author order, year, title, journal or publisher, volume, issue, pages and DOI. Enter an organisation as a corporate author where appropriate. The wrong item type produces the wrong reference even if the title looks right. Try importing 10.1177/1529100612453266 and compare its details with PubMed.
Create a collection for your dissertation and organise sources by topic. Keep notes that distinguish your paraphrases from copied quotations, including page references. Resolve duplicate records rather than maintaining two differently corrected copies of one paper.
How do you cite a source in Word?
- Open Zotero and your Word document.
- Choose the required style in Document Preferences, such as APA 7 if your department asks for it.
- Place the cursor beside the claim and select Add/Edit Citation.
- Search for the author or title and select the correct item.
- Add a page locator through the selected item’s citation dialogue when quoting.
- Confirm and check the displayed citation.
For one citation containing several works, add the items within the same citation dialogue. Do not manually type punctuation between separate generated fields. Follow the selected style when the author’s name already appears in your sentence.
How do you produce and correct the reference list?
Place the cursor under your references heading and choose Add/Edit Bibliography. Zotero builds a list from cited items. If an author or year is wrong, correct the library record and select Refresh. Manual changes to generated reference text can be overwritten. Check italics, indentation and line breaks in the final document too.
What if the plugin fails?
Test a citation in a new blank document. If that works, investigate the original document; otherwise check that Zotero is running and follow the official troubleshooting guidance. Keep a backup. Unlink Citations converts linked citations to ordinary text and is irreversible in normal editing workflows. Use it only on a separate final copy when needed, preserving the linked master document.
FAQ
Is Zotero free?
The desktop reference manager is free. Cloud attachment storage has separate limits and options.
Should I edit the generated bibliography manually?
Correct bibliographic metadata in Zotero and refresh Word. Manual output edits can be overwritten.
Where do quotation page numbers go?
Add them as locators in the citation dialogue, rather than changing the author or title fields.
Can I remove citation links?
Use Unlink Citations only on a separate final copy when necessary. Keep the linked original.
